Summary

A well-established provider of specialized products and services to highly regulated industries is seeking an experienced Order Management Specialist to help maintain exceptional service levels and support key multinational customers. In this role, you will serve as a primary point of contact for customer inquiries, ensuring accurate order processing, inventory coordination, and timely communication across internal and external teams. This position is ideal for someone who thrives in a customer-focused, fast-paced environment and enjoys problem-solving, multitasking, and building strong business relationships.

Key Responsibilities

  • Build and maintain strong business relationships with new and existing customers.
  • Respond to customer inquiries via email and phone, delivering a high-quality service experience.
  • Process incoming customer requests and purchase orders, ensuring accurate entry into internal systems with all required documentation.
  • Support the delivery of exceptional customer service at every interaction.
  • Collaborate with internal and external teams to resolve issues, expedite orders, and communicate information effectively.
  • Perform order entry, order management, stock reporting, and data entry activities across various inventory management systems.
  • Compile, analyze, and communicate recurring and ad hoc reports to customers.
  • Manage lead times and provide timely communication to customers and internal stakeholders.
  • Coordinate with warehouse teams on routine, urgent, and special orders requiring kitting, assembly, or other value-added services.
  • Identify, document, and escalate trends, issues, or risks that may impact customer service levels, inventory accuracy, or operational efficiency.
  • Develop a strong understanding of company products, warehouse inventory, and customer operating environments.
  • Support client-facing teams with information and administrative support to ensure a high level of customer service delivery.

Qualifications

  • Experience in a similar order management, customer service, account support, or supply chain role.
  • Strong commitment to delivering exceptional customer service.
  • Ability to identify customer needs and ensure satisfaction with every interaction.

  • Strong time management skills with the ability to prioritize multiple responsibilities.

  • Ability to identify potential issues before they arise and implement effective solutions.
  • Proficiency with Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.
  • Experience using ERP, WMS, or other computerized inventory management systems.
  • SAP experience is highly desirable.
  • Previous experience working with spare parts, machine parts, automotive parts, or other technical products is a plus.
